Booking resources

Postby WTPsyche » Mon Jan 22, 2007 4:43 pm

I'm always hesitant to post problems that are seemingly no-brainers, as they have potential to make me look like a complete ignoramous. Having said that, I'm seeing a couple of issues regarding resources on Scalix 11 (RHEL4u4).

1) A clarification request. The documentation says:
Any shared resource can be made available to either Premium users only, or both Premium and Standard users. If you want, you can limit Standard users' access to resources, which means they can see if someone has reserved a piece of equipment and can accept invitations to take part in reservations, but they cannot make reservations themselves.

My question is how can a standard user see a resource's schedule and accept invitations to take part in reservations? None of my resources are designated as Premium resources, but I can't figure out how a standard user can use a resource. The only thing I can see is when creating an appointment as a standard user, if you choose Tools, Add Attendees... and add a resource, it returns a "NULL" dialog box.

These other issue are seen in SWA from a Premium account.

2) When creating an appointment with a resource (as a premium user), all goes well. However, attempting to add another meeting attendee -- or otherwise modify the appointment, such as adding meeting notes -- and sending the update returns an error: "An error occurred while trying to process the resource", or sometimes that "the resource is already scheduled for that time" [paraphrase]

3) When attempting to modify the time of a meeting with a resource and trying to update, I get a similar error.

4) Deleting a meeting sending the notification does not clear the reservation, and results in an error "Content is not allowed in prolog"

Either some of these issues with resources are bugs, my test server is somehow misconfigured, or I'm just a blathering idiot. Whichever way the facts fall, if someone could help shed some light on this, I would greatly appreciate it.

Hi.

First of all, standard users cannot book resources - this is clearly groupware functionality which is limited to premium users. If you can, please log a bug against documentation at bugzilla.scalix.com, so that we take care of that. please indicate where you found that paragraph.

The other two things sound like bugs as well (interesting, our testing should have caugt those). Can you also log bugs for those, at best providing a reproducible scenario with step- by-step instructions, starting with freshly created users and resources? we'll then look at this and see if we can put fixes into the next maintenance release, if they are reproducible for us. if not, we'll need to find out what's wrong with your setup.

Thank Florian, I'll retest, document and log bugs (if necessary) for the last three issues. But before I log a documentation bug (admittedly it's for the Administration Guide pdf that's labeled Draft)... I have a question:

I'm confused as to what the purpose of the "Create as a Premium Resource" checkbox does functionally if resources are not accessible to standard users.

From that same documentation (http://www.scalix.com/documents/Scalix_ ... Draft1.pdf), page 74:
Create as premium resource: When this box is checked, only Premium users can reserve or schedule this resource. Standard users can see the resource's schedule and can accept invitations involving it, but they cannot reserve it themselves.

Is this a case of functionality reflected in the documentation that did not make it to the product? As always, thanks for your help.

that's wrong as well.

The purpose of a premium resource is to be able to log into the resource account from swa and/or outlook.

This way you can then
- set fine-grained access control on the resource calendar, determining who may book a resource and who can't. with a standard resource, every premium user has full access to the resource.
- being able to open the resource calendar as delegate - so to see the bookings
- being able to not allow direct resource booking but have some admin assistant get all bookings on behalf of the resource and confirm manually.

this has nothing to do with what user type can use the resource.

hope this helps,
Florian.

Well, it appears that I was half-right, or half-crazy. Deleting and recreating new users and testing eliminated the errors I was getting when modifying existing meetings that contained resources (issues 2 & 3). I still see a problem with deleted meetings not being removed from a resource's calendar (and still showing busy). I also still get the "null" dialog box when adding a user/resource to a meeting from a standard user's meeting window via Tools, "Add attendees from Address Book". If I'm not mistaken, that probably serves no purpose and shouldn't show up for standard users.

Florian, should I submit these two items as a bug report?

if they are reproducible and you can give precise steps, absolutely. And I agree on the latter, SWA UI should not show anything that doesn't work for standard users, so we probably missed that menu item.

Thanks for the findings,
Florian.

The docs have been fixed - both print and online help systems. The new versions should be posted some time next week. Apologies for the inconvenience.
