Team Calendars?

Postby winnina » Mon Sep 19, 2005 10:31 am

Hi, I'm running Scalix 9.2.1 Eval and I have everything running (ability to send emails internal and external, admin console is up, etc). The question I have is although I can create public folders (Buliten Boards) for messages, is there any way to create a Team Calendar?

The result for a team calendar is to have one calendar for everyone to put their appointments into so they can see where everyone is "at a glance". It doesn't really bother me if we all have to use this one calendar, or if this calendar is created by adding all of our individual calendars togeather. If someone can point me in the right direction (documenation, external link, whatever) that would be fantastic.

(If someone can point out how to create shared contacts while they are at it.... :) )

If it is important, the team is 8 people large, 7 of witch use outlook, one uses entourage.

Thanks!

Adam

Using Outlook, logged in as a user with administrative privilages, you can create Public Folders with a type other than mail, i.e. you can create "shared" Calendar and Contacts folders.

To check if a user has admin rights, run

omshowu -n <username>

and look for the line:
Admin Capabilities : YES

ommodu can be used to grant/revoke admin permissions.

Once created, then right clicking on the folder will allow you to set permissions on that folder (to allow the team members to add items to the folder).

You have to log with an admin account because by default only admins can create top-level Public folders.

On the server if you run:

omshowacl -t bb -l 0

you'll see the top level Public Folder (aka Bulletin Board) permissions.

There is a backend server command that allows to create Bulletin Boards (omaddbb) but this doesn't allow creation of folders of type other than mail, hence why you need to create the folders with Outlook.

The other Outlook users should then be able to see these folders, however your Entourage user is unlikely to be able to see/use these "special" folders because it will assume the folders contain just messages.

Hope that helps.
Cheers,
JG

As soon as I create the public folder is disappears from the list. I can't reach it within oulook (2003). Why does this happen?!

One of the most annoying aspects of Outlook 2003 is the views it provides for *only* showing folders of a certain type, i.e. Calendars, Contacts, Mail etc.

I *always* get caught out by this :-)

Can you check that you don't have one of those views selected.

Cheers

Ok thanks that did the trick! Can you please tell me how I share my own Calender with
the other users?!

Because Outlook 2003 does not show the link to share my agenda.. This works while connecting to an exchange server. I thought that this was one of the possibilities.

Another question I have is, do the 5 enterprise user licenses that the community version provides for have any time limitations?!

Cheers,

Simplest question first: No, there is no time limitation for the 5 enterprise users.

To share your calendar, you can right click on the Calendar folder and select the properties menu. Click the Permissions tab and set the permissions as appropriate.

Alternatively, you can select Tools->Options->Delegates and add a user to act as your delegate for the calendar folder.

Thanks for the support and I find it superb that Scalix thinks about the home users by providing 5 Enterprise licenses!! Super job! Ok that was the easy part.. I followed you advise and my test user received the following message:

You have been given the following permissions on my folders:-
Calendar: Editor (read, create, modify and delete all items)
Tasks: Editor (read, create, modify and delete all items)
Inbox: Editor (read, create, modify and delete all items)
Contacts: None
Notes: None
Journal: None

To open folders for which you have permissions, choose File/Open/Other User's Folder. You must be running Microsoft Outlook to do this.

Ok no I try to open the folders but Outlook gives an error box.. Is the scalix plugin language dependent? Because I use a Dutch version of Outlook 2003. The error box is translated by me:

Can't find the folder. Can't open the information-archive.

This occurs while opening the Inbox of my test user (note that this is called: "Postvak In" in the Dutch version of Outlook).

There are a number of things that could be causing this but, seeing as I know you set up the permissions correctly, we can discount most of them :-)

The most common cause of delegate access issues is that the local client machine cannot correctly resolve the fqdn of the Scalix server.

On the Scalix server command line, run the command:

Code: Select all

omshowmnmp

This will show the mapping between mailnode and hostname. In a 1-server setup, this will always be the fqdn of the same server.

On the client machine command line, run the command

Code: Select all

ping fqdn
where fqdn s the server name you got from the omshowmnmp command.

If you don't get any luck with the ping command, you will need to make sure that either DNS or \Windows\system32\drivers\etc\hosts also contains the fqdn.

Cheers

Hmmm I will need to test this at home.. But I think this could be the problem indeed. Because the internal LAN hostname of the scalix server is different then the outside name.. All other thing work though or are there more things that depend on a close binding in the host name??

Ok I quickly changed the hostname in my Windows host file to match the internal hostname and now it works!! Thanks a lot and I must say that I'm very impressed about the many features of scalix!

I chose this Topic, because it fits on my question and I think it isn't answered yet.

I'm looking for a Team Calender, a view, where you can choose some Users and than see their Calender entries in an overview.

Is something like that implemented in Scalix? I'm using the 11.0 Beta.
Thanks
