Big time problems with SmartCache

In my pilot program, I was runnign Smartcache on my workstation for about a week, with several other users accessing via IMAP. No issues were detected.

The go signal was given for the full migration (our Exchange licenses had lapsed) and now I've completed the migration of the 40-something users in the office here to Scalix. For the most part this went without issue - the most serious issue that came up was the occasional stopping of imports with "Some items could not be copied." Now Smartcache is causing headaches for our most important users - the executives who are on the hook 24/7 with their laptops.

I've been dealing with crashes, malformed calendar requests, messsages showing up as "From" the user when they were actually replied to by an external user, new messages not appearing in the inbox, inbox views becoming corrupted, SYSTEM address book not updating on clients, public folders not updating on clients.. so far most of my fixes have consisted of recreating the Smartcache, or deleting and recreating the profile, or deleting and recreating the mailbox. I'm the sole admin here and I'm beginning to wonder what a quagmire I've walked into.

I hope and pray I am running a woefully out of date version of the MAPI connector. The version that I have is 11.1.0.20070606-1448. It seems one has to jump through hoops and/or socially engineer to get access to the latest builds of the product.

I notice a lot of posts thatinclude the lines, "I was reading the log files..." Where are these mystery logfiles? Are they housed in a locked room in an ivory tower, guarded by a spectral warrior? If not, they may as well be. There are plenty of .log files in /var/opt/scalix/sx/tomcat/logs that look like they could be useful, were they not 0 bytes long. If there is a log file that would be pertinent and or useful, what is it?

None of that seems particularly useful from the on-the-ground admin's perspective.

Smartcache seems woefully buggy and dearth of documentation and/or useful messages. Which is bad news for the admin trying to support his boss remotely. I did notice an "Invitation to meet some of our top IT recruits" in my bosses inbox as I was trying to diagnose why he was getting meeting responses he sent to a client appear as From: himself... an ominous sign both for me and for scalix...

I'm not asking for miracles, just for smartcache to work as advertised, so I can take a holiday.

Smartcache is VERY buggy and prone to a number of very extremely difficult to solve problems. It's not "ready for primetime" without a Scalix support contract. Do yourself a favor and RIGHT AWAY:

1) Disable SmartCache in the Scalix Admin Console for each user as well as the server.

2) Remove the Outlook Connector. Remove the C:\Documents and Settings\(user id)\Local Settings\Scalix folder.

3) Reinstall the Scalix Connector. Make SURE the SmartCache selection is disabled when the check box is displayed.

4) Search the forums for the error codes you continue to receive. You will most likely find the answers to your problems.

From your email it sounds like you are using the Community Edition for your pilot project. Honestly, you are on the mark about the written documentation - it'is minimal and a difficult read. Without these forums and the Wiki Scalix graciously provides FREE of charge, the Scalix Community product would be unusable. But there is a TREMENDOUS amount of information in these two resources provided by Scalix personel, resellers, and sysadmins who have "been there". They have always been courteous and more than willing to deal with my newbie questions.

Scalix V10 was a very mature and stable product. It works extremely well and shows Scalix at it's finest. For a pilot project it would been a better choice then V11 at this time unless you must have the SmartCache feature.

V11 is in the "teenage years" but has come a VERY long way since it's release. Once the issues with SmartCache and the Rules Wizard are worked out, it will far surpass V10 in features. Those of us who survive it's growing pains there will a tremendous reward in REALLY knowing the product and it's intricacies.

I know the learning curve is very steep - I was exactly where you are now 10 months ago. But It's an excellent product and I'm glad I did not give up on it.

I agree - SmartCache is very buggy and creates more problems then I would like. I never enable it on profiles unless the user 'must' have it.

I also agree that it has come a long way! Scalix is doing a great job of coming out with new releases and it is much better then when it first came out. I will be interested to see how things work out in the future especially with release 11.2.

Documentation can be hard to come by, but as stated above check the resources such as the wiki.

Also this forum does a great job in helping each other out - usually does not take long to get a response and everyone is very courteous on here.

I am glad we stuck with Scalix - we went through a rough time when SmartCache was introduced and our mail Admin left and I was to take over. One of the decisions I had to make was to keep Scalix or move on and I decided to keep going with it.

I know it can be frustrating especially with dealing with the higher ups in the company, but if they do not need SmartCache - then re-create the profile w/out it and you will see a major difference.

Actual;ly, I'm a licensed user on the small business edition. This gives me the dubious distinction of actually having paid for the product. Ironically, it is actually more difficult to find resources for the enterprise editions. Ever tried to find what the latest version for download is?

I'm pretty much stuck with Smartcache as my most important users demand offline access to therir mail while they are on their bus/ferry/train/plane/helicopter/$1000 an hour hooker/sunbed/acid trip... and with Scalix SmartCache is the only way to get offline access... so disabling isnt an option. One guy has 100-500 messages 'For Follow Up' at any given time, and is on a plane flight every second or third day. The only time he has to read these is on the plane. All of the offline capabilities described in http://www.scalix.com/enterprise/products/outlook.php rely on smartcache. So I pretty much have to use it. SAC and the outlook connector both default to it being enabled... call it wishful thinking, but i'd like for it to actually work, reliably, so i dont need to come into work to recreate someone's profile when i'm sick and should be in bed.

In this regard I have to differ from you. As a Scalix reseller reseller we get notified of every new release, with a download link to the packages, as does all our customers. The Enterprise editions are also always in sync (or ahead of) the Commuinity Edition. With Scalix 10, for example, there was a 10.0.0 and a 10.0.5 GA release, plus 3 patches in between available to customers that specifically had the issues addressed in those releases.

If you're not sure what the latest version is, I suggest you talk to your reseller, they should be taking care of you :)

I bet he had a really big hard disk, did he not?

What's the best way to back up a smartcache-backed Scalix profile, then? Volume shadow copy? If it breaks, how easy is it to timewarp back to the smartcache that worked, retry the server messages that caused it to crash carefully, and keep working?
What files, and what procedure would be required to timewarp the old smartcache into play?

I like scalix, and smartcache, but this feature really lets everyone down - most of all the developers who work so hard making it as good as possible, the hackers from CE Raw, and all the testers on community edition.

I note that my boss' mailbox is up to 3.7gb. we are properly archiving more than 60gb of mail that previously wasnt being backed up (mailstore is now 60gb, was 40gb last week) for the first time (HUGE weight off my back!!!!) and generally things are starting to work well. im learning the sacred incantations of install smartcache off, import mail, check mailbox size, check webmail and imap, delete profile, check webmail, recreate profile with smartcache on, check size, continue...

I'd be happier if this process were automated by an import wizard. It must be easy to write one. Select an outlook profile and pillage its data store into a new imap4 account that is actually scalix.

Or else I could try and convince my boss to let me port him to Thunderbird. :)

Symptoms= some user can not login through outlook or scalix webmail, all other users are fine and using smartcache. A few others show weirdness with their folders, they don't display, or take too long to show up. Yet, the majority of users is fine.

- Have the affected user logout of any web sessions or outlook (completely)
- Gather information regarding the account "omshowu -n <last name> -f"
- Fix the mailbox - omscan -Avfx -U "<user name>/<mail node>"
- Restart the scalix service - omshut -t3 && sleep 3 && omrc
- Verify proper login of the account

The restart of the server is the most annoying part, but we came to the conclusion by trial and error that if we don't do it things don't work 100%. We gather one or more problem accounts at the time and deal with them at once early in the morning or later in the evening. The incidents have been diminishing. That started to happen primarily after the upgrade and migration to another server.

Some common sense things to avoid are numerous messages in the users
inbox - these should be moved to a subfolder *somewhere else*. If you need a "magic number" I suggest keeping the number of messages in the inbox to less than 100.

Also when running this on a specific user - does it affect them using mail? Will they notice?

I don't know. I found it in one of Subir's old posts. The fact is that I don't really care, as long as it doesn't delete the account. It seems to do some house keeping on the user's mailbox, and at the end things get much better.

Yes & Yes. User should be completely out of the account (and stay out!) otherwise it will interfere with the action the command is performing. I had some very persistent and impatient guy try his luck, and he made a mess in his account. Nevertheless I did another pass with omscan and t got fixed.
